Remote meetings are an integral element of collaboration, particularly for distributed teams. However, they are less efficient than meetings in person in the event that you don’t observe the correct manner of conducting meetings. 1. Use an agenda.
To avoid being lost in the conversation, start your meeting with an agenda that is clear. If possible, draft the agenda prior to the meeting with the input of attendees, and then present it at beginning of the meeting.
2. Encourage everyone to speak up.
In online meetings, certain participants may be reluctant to participate due to concerns about dominating the discussion or being interrupted. To counter this, consider using a specially-designed conference call microphone and camera. This will help filter out background noises and also amplify everyone’s voice equally. Always ask questions or remarks at the end of the meeting to ensure that everyone is heard.
3. Make sure you focus on action items and follow-up.
Meetings usually end with vague action items and no clear plan of follow-up. To avoid this, determine how actions will documented and then followed-up at the start of the meeting and then revisit the actions at the end of the meeting. It is also possible to schedule one-on-one follow-up meetings or another team session within a realistic timeline.
